1. Click the Professional Learning tab along the top of the screen.
2. Select Instruct from the left-hand column.
3. You will see a list of your Open (current) sections and courses:
   • You can toggle between your Open Courses, Future Courses, or Closed Courses.
   • Filtering is available to make your list of sections more manageable.

Clicking the Section name will bring you to the Roster where attendance can be taken.

The Roster Screen

Clicking on the section name brings you to the Roster page, you can access all Section Details via the tabs along the top. 

You can attach files as needed such as a syllabus or training guide by clicking Attach File on the Section Details page.

Add Individual Learners

1. From the Roster tab, click the arrow next to Bulk Actions.
2. Select Search for Learners to choose learners from a searchable list.
3. From the results, do one of the following:
   • Select the checkbox in the header row to select all learners.
   • Select the checkbox next to  individual learners.

4. To add the selections to the section roster, click Add User(s). 

Add Large Groups of Users

1. From the section roster, click the arrow next to Bulk Actions.
2. Select Add Using Advanced Method to add learners from a pasted list.
3. Paste groups of Employee IDs, Usernames, or Email Addresses in the text box.
4. Select Preview to review the list.
5. Select Add Users.

Manage the Waitlist

• View and update the section waitlist.

1. From the buttons displayed on the Section Roster screen, click Waitlist.
2. Users on the waitlist will be displayed with the following options.

(A) Select Show Only Active Users to filter the waitlist accordingly.

(B) To move a user from the waitlist to the section roster, click Register for the desired participant. (This action can override the section settings for the maximum number of participants.)

(C) To remove a user from the waitlist, click X for the desired participant. Click OK to confirm the removal.

3. When finished updating the waitlist, click Manage Roster.
4. Participants you registered from the waitlist now will appear in the roster list. To return a participant to the waitlist, select Move to Waitlist from the applicable Actions menu.
   

Remove Participants

1. From the section roster, click the arrow next to Bulk Actions.
2. Select Remove Multiple Participants.
3. Select the checkboxes for the participants you wish to remove. 
4. To send notification emails to individuals removed from the roster, place a check next to Send notification emails.
5. Click Delete. The users will no longer appear on the roster list.

Note: Users that have completed the course or are locked cannot be removed from the section.

Taking Attendance

• Here you will learn to mark participants as attended for class times. From the buttons displayed on the Section Roster screen, click Attendance.
• You can mark attendance in one of several ways:

• (A) For Multiple Day with Multiple Attendees Submissions - click the drop-down on the participants' row and select the appropriate attendance status. This will update the participant's attendance status for all days.
• (B) For Multiple Attendees in a Single Day Submissions- click the pencil icon in the column for the correct date and select the appropriate attendance status using the radio buttons. 
• (C) For Single Day Individual Submissions - select the circle with a line in the middle to mark within a given participant AND day Attended or Absent.

• (a) Select Page to update the attendance for only the users on the active page.
• (b) Select All to update the attendance for all participants.
• (c) Select Filtered Set to update the attendance for only the filtered users.
• (d) The action button will designate how many participants will be affected by the selected action.
• Click the drop-down in the desired participants row and the correct date column and select the appropriate attendance status. This will update the individual participant's status for that day.

Once attendance is complete, click Back at the top of the page.

Use this function to award partial credit to users based on their attendance or to update amount earned in bulk. 

1. From the Roster tab locate the Credits column and select Edit All. Pick the appropriate option based on how the PD points shoud be awarded.
   1. Update all manually: Participants earn a specific number of PD points. Points can be updated for each individual or bulk updated for all participants.
   2. Update all based on number of times atended: Participants will receive full credit if they meet the minimum attendance set for the section.
   3. Update all based on percentage of hours attended: Participants will receive a percentage of the total credits available based on the total hours they attended (use if class times vary in length). 
   4. Update all based on percentage of times attended: Participants will receive a percentage of the total credits available based on their attendance. 
2. Complete the fields applicable to the one you chose. Click Update.

Note: Points will not update for locked participants. 

In order for participants in your course to receive recertification points, they must be marked as "Complete". See Updating Roster Status & Marking Participants as Complete for more information.

• Once your course has finished, the final step is to mark participants as "Complete" or "Incomplete" based on attendance. You can also make additional updates to the participants' roster status. 
• In order for participants in your course to receive recertification points, they must be marked as "Complete". This is done in addition to taking attendance. 
• Roster Status Definitions

1. After taking attendance, return to the Roster tab. You can update each user's Registration Status individually via the dropdown menu next to their name. Changes will save automatically
2. If you desire to change roster status of all participants at once, click Edit All and select Edit All Manually make the appropriate selection from the dropdown menu and click Update. The status of all participants will update

3. If you would like to change the roster status of all participants based on their attendance, Click Edit All and select Edit all based on number of times atttended. Select the minimum attendance required for full credit from the dropdown menu and click Update All. The status of all participants who met the minimum criteria will update.

4. You can lock individual users by clicking the lock icon next to their name. Click Lock All and Close Section to lock all participants and close the section so that no further changes can be made. 

Note: Once all classes for a section have finished, mark participants completed as appropriate. Registration status cannot be changed for locked participants.

Send an email to participants on the roster and/or waitlist.

1. From the Roster tab select Messages and Email and click Email All.
2. Fill in the desired fields of the email.
3. Select the checkboxes for all intended recipients. All registered users are automatically checked. 
4. Once the email and recipient selections are complete, click Send.

• Print the section roster sign-in sheet for a class (with optional QR code for use with the mobile app). This will be most useful for in-person courses. 

1. From Roster tab, click Print Forms.
2. Select Sign-In Sheets or Table Tents.
3. If the section has multiple class times, select the appropriate date by clicking the arrow until the correct date is displayed.
4. A new window will load.
   • Click Print above the roster and follow on-screen instructions related to your printer.
   • If you would like to include the section-­specific QR code, click Print Section Code and follow on-screen instructions related to your printer.

1. From the buttons displayed on the Section Roster screen, click Send Survey Reminders.
2. Participants will be listed, with an indicator of their survey status.
3. Select the checkboxes for all intended recipients of the survey reminder email. You can select Select All to send the email to all participants.

Note: The participants you can select for the reminder will depend on their roster status. Roster statuses eligible for surveys are configured for your district.

4. When finished selecting recipients, click Email Selected. Click OK to confirm.
