Frequently Asked Questions

1) May I pay at the school site or the County Office Building rather than the EDEP Office?

All payments must be remitted to the EDEP administrative office, located at 907 Henry Avenue.

2) May I register at the school site?

All registration forms and fees must be returned to the EDEP administrative office either by mail or in person. School staff may not accept registration.

3) Who should I contact if I have questions regarding my account?

All questions should be directed to the (EDEP) administrative office at 296-5840.

4) Who should I contact if I have questions regarding number of remaining days?

The Daily sign-out sheet reflects the amount of days purchased, days used, and remaining days. The Site Facilitator can provide additional information about student attendance.

5) May I pay with a credit card?

Yes. Payments can be made with Visa, MasterCard and Discover cards. To make a credit card payment, complete the form, located on the back of each coupon. Please be certain to include your signature and the security code. We neither accept credit card payments over the phone or by fax, nor can they be automatically deducted.

Please note that a 3% convenience fee is added to all transactions. Credit card company by-laws require the Department of Finance to use a third party to process credit card payments for VISA, MasterCard, and Discover. The EDEP uses a third-party processor named Elavon to process credit card payments. Elavon will charge a convenience fee of 3% on the total amount of the bill charged as authorized under Virginia Code 2.2-614.1.

6) May I purchase Premium Days at any time during a cycle?

Premium Days must be purchased prior to the due date to be used in a subsequent cycle to avoid a late fee. (Refer to page 9 of the Parent Handbook)

7) What is a billing cycle?

The After School billing is divided into nine (9) cycles of 20 days, based on 180 instructional days. All holidays and teacher workdays have been omitted from the billing cycles. Student Holiday and Spring Break Program offerings are listed on the cycle coupon in which they occur.

8) Do days purchased roll over from cycle to cycle?

Only the premium days roll over from cycle to cycle; however, they must be used within the current school year. Full-time and part-time attendance options must be used within the cycle for which they are purchased. There are no refunds or credits for unused days.
